This Privacy Policy explains how Civil Soft (L.L.C.) ("Civilsoft", "we", "us") handles information in the Civilsoft Attendance mobile app for iOS and Android (the "App").

The App is an employee attendance tool provided to companies ("Employers") that use the Civilsoft Time Attendance system. It lets an Employer's supervisors and HR administrators record employee check-in and check-out at the Employer's work sites, confirming each employee's identity with face recognition and the work site with the device's location. The App is not intended for personal or consumer use.

1. Information we process

Account information

• The Employer's company ID, and the username and password a supervisor or HR administrator uses to sign in. The password is sent securely to the Employer's attendance server to sign in and is not stored in the App; the App keeps only a sign-in token until it expires or the user logs out.

Employee information

• Employee name, employee code, job title and profile photo, provided by the Employer's system and shown to supervisors in the App.

Attendance records

• The time of each check-in and check-out, the work site, and the device's location at that moment.

Location

• The App uses the device's precise location only while the App is open, to confirm that the user is inside the Employer's work-site area before check-in or check-out, and to show the user's position on a map. The App does not track location in the background. You can decline location access; check-in and check-out then cannot be completed.

2. Face data

2.1 What face data is collected

• Registration photo: when an Employer's HR administrator registers an employee for attendance, the App takes a photo of the employee's face.
• Face template: from that photo, the App calculates a face template, a list of numbers that describes the face for matching. It cannot be turned back into a picture.
• Live check-in images: during check-in and check-out, the App captures a live image of the face to compare with the registered template.
• To find and crop the face, the App detects where the face and its main points (eyes, nose and mouth) are in the camera image. This is used only in memory while the camera is open and is not stored.
• The App does not use Face ID and does not collect any other face data.

2.2 How face data is used

• Face data is used only to confirm that the person checking in or out is the registered employee, so attendance is recorded for the right person.
• It is not used for advertising, marketing, tracking, profiling, or to infer any other characteristic (such as age, gender or emotion).
• Face detection (Google ML Kit, on-device) and face matching (an on-device TensorFlow Lite model) run entirely on the device.

2.3 Where face data is stored

• The registration photo and face template are stored on the Employer's Civilsoft Time Attendance server, transmitted over encrypted connections (HTTPS), and accessible only to the Employer's authorized supervisors and HR administrators.
• Live check-in and check-out images are processed on the device and deleted immediately. They are never uploaded to any server and are not kept on the device.
• So that check-in works without an internet connection, the App keeps the face templates of the employees at the current work site, and the employee list with each employee's profile photo, in its private storage on the device. Other apps cannot access this storage.

2.4 Sharing and disclosure of face data

• We do not sell, rent, share or disclose face data to any third party.
• No face images or face templates are sent to Google or to any other external service. Face detection and matching run on the device.
• We disclose face data only if the law requires it.

2.5 How long face data is kept and how it is deleted

• Live check-in and check-out images are not retained at all. They are deleted as soon as the check is complete.
• The registration photo and face template are kept only while the employee is registered for attendance with their Employer.
• They are deleted from the server when the Employer's HR administrator deletes the employee's face registration (available in the App), when the employee leaves the Employer, or when the Employer stops using the service.
• The copy on the device is deleted when the user logs out or changes company. It is also refreshed from the server, so faces deleted by the Employer are removed from the device.
• Employees can ask their Employer, or contact us at civilsoftorg@gmail.com, to delete their face data.

3. How we use information

• To sign users in to their Employer's attendance system.
• To record employee attendance and confirm it happened at the correct work site.
• To verify employee identity with face recognition (Section 2).
• To keep the App working offline and send attendance saved offline once a connection is available.

We do not use information from the App for advertising and we do not track users across other apps or websites.

4. Storage, hosting and security

• Account, employee, attendance and face data are stored on the Civilsoft Time Attendance server used by the Employer.
• All communication between the App and the server uses HTTPS encryption and requires an authenticated sign-in.
• Data kept on the device (sign-in token, work-site list, employee list, face templates and attendance saved offline) is stored in the App's private storage, which other apps cannot access, and is cleared on logout.

5. Third-party services

• Google ML Kit (face detection) runs on the device. No images or face data are sent to Google. Like other Google SDKs, ML Kit may send Google limited technical information (such as device model, app and SDK version and performance metrics) to maintain and improve the SDK.
• Google Maps is used to display the work-site map; map content is loaded from Google. Google's handling of this information is described in the Google Privacy Policy.

We do not share personal information with any other third party, except where required by law.

6. Your choices and rights

• You can allow or deny camera and location access in your device settings at any time. Without them, face check-in and location confirmation cannot be completed.
• Employees can ask their Employer, or contact us, to access, correct or delete their data, including face data. Employer HR administrators can delete an employee's face registration directly in the App.

7. Children

The App is intended for use by Employers and their workforce. It is not directed to children, and we do not knowingly collect information from children.

8. Changes to this policy

We may update this Privacy Policy. Changes are posted on this page with a new effective date.

توضّح سياسة الخصوصية هذه كيف تتعامل شركة Civil Soft (L.L.C.) ("سيفيل سوفت" أو "نحن") مع المعلومات في تطبيق Civilsoft Attendance لأجهزة iOS وAndroid ("التطبيق").

التطبيق أداة لتسجيل حضور الموظفين تُقدَّم للشركات ("جهات العمل") التي تستخدم نظام Civilsoft Time Attendance. يتيح لمشرفي جهة العمل ومسؤولي الموارد البشرية تسجيل حضور الموظفين وانصرافهم في مواقع العمل، مع التحقق من هوية الموظف بتقنية التعرّف على الوجه ومن موقع العمل عبر موقع الجهاز. التطبيق غير مخصّص للاستخدام الشخصي.

1. المعلومات التي نعالجها

بيانات الحساب

• معرّف الشركة، واسم المستخدم وكلمة المرور التي يستخدمها المشرف أو مسؤول الموارد البشرية لتسجيل الدخول. تُرسَل كلمة المرور بشكل آمن إلى خادم الحضور الخاص بجهة العمل ولا تُحفَظ في التطبيق؛ يحتفظ التطبيق فقط برمز الدخول حتى انتهاء صلاحيته أو تسجيل الخروج.

بيانات الموظفين

• اسم الموظف ورقمه ومسمّاه الوظيفي وصورته الشخصية، وهي بيانات يوفّرها نظام جهة العمل وتُعرَض للمشرفين داخل التطبيق.

سجلات الحضور

• وقت كل تسجيل دخول وخروج، وموقع العمل، وموقع الجهاز في تلك اللحظة.

الموقع

• يستخدم التطبيق الموقع الدقيق للجهاز أثناء فتح التطبيق فقط، للتأكد من وجود المستخدم داخل نطاق موقع العمل قبل تسجيل الدخول أو الخروج، ولعرض موقعه على الخريطة. لا يتتبّع التطبيق الموقع في الخلفية. يمكنك رفض إذن الموقع، وعندها لا يمكن إتمام تسجيل الدخول أو الخروج.

2. بيانات الوجه

2.1 بيانات الوجه التي تُجمَع

• صورة التسجيل: عند تسجيل مسؤول الموارد البشرية للموظف في نظام الحضور، يلتقط التطبيق صورة لوجه الموظف.
• بصمة الوجه: يحسب التطبيق من هذه الصورة بصمة رقمية للوجه، وهي مجموعة أرقام تُستخدم للمطابقة ولا يمكن تحويلها إلى صورة.
• صور التحقق المباشرة: أثناء تسجيل الدخول والخروج يلتقط التطبيق صورة مباشرة للوجه لمطابقتها مع البصمة المسجّلة.
• لتحديد الوجه واقتصاصه، يكتشف التطبيق موضع الوجه ونقاطه الرئيسية (العينين والأنف والفم) في صورة الكاميرا. تُستخدم هذه المعلومات في الذاكرة فقط أثناء فتح الكاميرا ولا تُحفَظ.
• لا يستخدم التطبيق Face ID ولا يجمع أي بيانات وجه أخرى.

2.2 كيف تُستخدم بيانات الوجه

• تُستخدم بيانات الوجه فقط للتأكد من أن الشخص الذي يسجّل الدخول أو الخروج هو الموظف المسجّل، ليُسجَّل الحضور للشخص الصحيح.
• لا تُستخدم للإعلانات أو التسويق أو التتبّع أو التنميط، ولا لاستنتاج أي صفات أخرى (مثل العمر أو الجنس أو المشاعر).
• يتم اكتشاف الوجه (Google ML Kit على الجهاز) ومطابقته (نموذج TensorFlow Lite على الجهاز) بالكامل على الجهاز نفسه.

2.3 أين تُخزَّن بيانات الوجه

• تُخزَّن صورة التسجيل وبصمة الوجه على خادم Civilsoft Time Attendance الخاص بجهة العمل، وتُنقَل عبر اتصال مشفّر (HTTPS)، ولا يطّلع عليها إلا المشرفون ومسؤولو الموارد البشرية المصرّح لهم من جهة العمل.
• تُعالَج صور التحقق المباشرة على الجهاز وتُحذف فورًا، ولا تُرفَع إلى أي خادم ولا تُحفَظ على الجهاز.
• لكي يعمل تسجيل الحضور دون اتصال بالإنترنت، يحتفظ التطبيق ببصمات الوجه لموظفي موقع العمل الحالي، وبقائمة الموظفين مع الصورة الشخصية لكل موظف، في مساحة تخزين خاصة بالتطبيق على الجهاز لا تستطيع التطبيقات الأخرى الوصول إليها.

2.4 مشاركة بيانات الوجه والإفصاح عنها

• لا نبيع بيانات الوجه ولا نؤجّرها ولا نشاركها ولا نفصح عنها لأي طرف ثالث.
• لا تُرسَل أي صور أو بصمات وجه إلى Google أو إلى أي خدمة خارجية أخرى، إذ يتم اكتشاف الوجه ومطابقته على الجهاز.
• لا نفصح عن بيانات الوجه إلا إذا تطلّب القانون ذلك.

2.5 مدة الاحتفاظ ببيانات الوجه وطريقة حذفها

• صور التحقق المباشرة لا يُحتفَظ بها إطلاقًا، وتُحذف فور انتهاء التحقق.
• يُحتفَظ بـصورة التسجيل وبصمة الوجه فقط طوال فترة تسجيل الموظف في نظام الحضور لدى جهة العمل.
• تُحذف من الخادم عندما يحذف مسؤول الموارد البشرية تسجيل وجه الموظف (متاح داخل التطبيق)، أو عند ترك الموظف لجهة العمل، أو عند توقّف جهة العمل عن استخدام الخدمة.
• تُحذف النسخة المحفوظة على الجهاز عند تسجيل الخروج أو تغيير الشركة، وتُحدَّث من الخادم بحيث تُزال من الجهاز الوجوه التي حذفتها جهة العمل.
• يمكن للموظفين أن يطلبوا من جهة عملهم، أو منّا عبر civilsoftorg@gmail.com، حذف بيانات وجوههم.

3. كيف نستخدم المعلومات

• لتسجيل دخول المستخدمين إلى نظام الحضور الخاص بجهة العمل.
• لتسجيل حضور الموظفين والتأكد من أنه تم في موقع العمل الصحيح.
• للتحقق من هوية الموظف بالتعرّف على الوجه (البند 2).
• لإتاحة استخدام التطبيق دون اتصال وإرسال سجلات الحضور المحفوظة عند توفّر الاتصال.

لا نستخدم معلومات التطبيق لأغراض إعلانية، ولا نتتبّع المستخدمين عبر تطبيقات أو مواقع أخرى.

4. التخزين والاستضافة والأمان

• تُخزَّن بيانات الحساب والموظفين والحضور والوجه على خادم Civilsoft Time Attendance الذي تستخدمه جهة العمل.
• يتم كل الاتصال بين التطبيق والخادم عبر تشفير HTTPS ويتطلّب تسجيل دخول موثّق.
• البيانات المحفوظة على الجهاز (رمز الدخول، قائمة مواقع العمل، قائمة الموظفين، بصمات الوجه، وسجلات الحضور المحفوظة دون اتصال) تُخزَّن في مساحة خاصة بالتطبيق لا تستطيع التطبيقات الأخرى الوصول إليها، وتُمسَح عند تسجيل الخروج.

5. خدمات الأطراف الثالثة

• Google ML Kit (اكتشاف الوجه) يعمل على الجهاز، ولا تُرسَل أي صور أو بيانات وجه إلى Google. وكسائر أدوات Google البرمجية، قد يرسل ML Kit إلى Google معلومات تقنية محدودة (مثل طراز الجهاز وإصدار التطبيق والأداة ومقاييس الأداء) لصيانة الأداة وتحسينها.
• خرائط Google تُستخدم لعرض خريطة موقع العمل، ويُحمَّل محتوى الخريطة من Google. توضّح سياسة خصوصية Google كيفية تعاملها مع هذه المعلومات.

لا نشارك المعلومات الشخصية مع أي طرف ثالث آخر، إلا إذا تطلّب القانون ذلك.

6. خياراتك وحقوقك

• يمكنك السماح بالوصول إلى الكاميرا والموقع أو رفضه من إعدادات جهازك في أي وقت، ودونهما لا يمكن إتمام التحقق بالوجه أو تأكيد الموقع.
• يمكن للموظفين أن يطلبوا من جهة عملهم، أو منّا مباشرةً، الاطلاع على بياناتهم أو تصحيحها أو حذفها، بما في ذلك بيانات الوجه. ويمكن لمسؤولي الموارد البشرية حذف تسجيل وجه الموظف مباشرةً من التطبيق.

7. الأطفال

التطبيق مخصّص لجهات العمل وموظفيها، وليس موجّهًا للأطفال، ولا نجمع عن علم أي معلومات من الأطفال.

8. التعديلات على هذه السياسة

قد نحدّث سياسة الخصوصية هذه، وتُنشَر أي تعديلات على هذه الصفحة مع تاريخ سريان جديد.
